Facilities Manager

Brief Description: The Director of Facilities Management supervises physical plant operations including all buildings and grounds, utilities, energy management systems and safety/security systems in order to provide a safe, healthy, and comfortable environment for students, faculty and staff. The individual in this position is responsible for the scheduling and supervision of maintenance and repair activities, contracted services, and custodial services, and ensuring the physical operation of the school meets budgetary and strategic objectives. PRIMARY DUTIES AND RESPONSIBILITIES

  • Directs, supervises, and evaluates department staff; ensures staff receives training related to specific job tasks and responsibilities.
  • Directs, schedules, and oversees all external contractors (electricians, plumbers, excavators, roofers, painters, landscapers, etc.)
  • Schedules and supervises maintenance workers engaged in building and grounds upkeep and repair; responsible for employee (faculty/staff/student) safety, electrical, plumbing, heating, air conditioning, and ventilation services
  • Develops and monitors department budget; orders equipment and supplies and monitors inventory; makes requests for capital outlay expenditures as needed. Will provide regular updates and reports as required for administration and the Buildings & Grounds Committee of the Board of Trustees.
  • Develops, implements, and supervises preventative maintenance and renovation programs for buildings, grounds, mechanical and electrical, utility, and safety and security systems.
  • Supervises custodial contract for the complete cleaning of the school.
  • Responsible for facility safety and meeting physical ADA compliance standards, works closely with staff and city/state officials to meet schools requirements for compliance with all local laws and ordinances. Will interface with FDNY and NYCDOB for all related fire-safety and building related issues. Must have or be able to attain Certificates of Fitness: S-95; S-12; S-13 from FDNY Testing Center.
  • Prepares specifications for physical plant projects; estimates costs of equipment, materials, labor, and supplies; prepares bid specifications for projects, equipment, and contracted services; oversees site and building projects performed by outside contractors.
  • Develops specifications for cost-effective campus energy management systems; supervises the operations, maintenance and repair of such systems.
  • Ensures the proper disposal of hazardous and controlled wastes in compliance with regulations and guidelines; works directly with outside agencies such as NYC-DEP, OSHA, FDNY, and other local and state health departments and AHJs as required.
  • Evaluates the need for and arranges physical plant training sessions (bloodborne pathogens, OSHA, MSDS, and other job-related training).
  • Contributes to strategic planning by evaluating and projecting future facility needs and proposing options to achieve them.
  • Performs other related tasks as requested by the Director of Finance and Operations, the Director of Risk Management and/or the Head of School.
SUPERVISION
  • Works under the general supervision of the Director of Finance and Operations.
MINIMUM QUALIFICATIONS
  • Bachelor’s degree in engineering, building trades, or related field, and;
  • Five or more years of progressively more responsible experience in physical plant maintenance, with three or more years of supervisory experience, or; combination of education and experience commensurate with the requirements of this position
  • Demonstrated ability to work cooperatively and collaboratively with school faculty, staff, administrators and members of the Board of Trustees
  • Experience in operational and strategic planning as well as budget development
  • Ability to effectively communicate ideas and information in written and oral format to administrative staff, professional colleagues, and members of the Board of Trustees

Controller

Job Description: CONTROLLER Start Date: Immediately Reports to: Director of Finance & Operations Brief Description: Maintain general ledger financial information and prepare financial analyses of school operations for the Head of School, Finance Committee and Board of Trustees for decision making purposes. Basic responsibility lies in the development, communication, and coordination of a sound overall business environment conducive to the educational objectives of the school. Full-time, 12-month position RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Perform accounts payable function, including invoice entry and disbursements, when approved by Director of Finance & Operations
  • Reconcile all financial and investment accounts on a monthly basis
  • Reconcile general ledger accounts to Institutional Advancement and Admissions Departments on a monthly basis
  • Assure accuracy and integrity of financial reporting
  • Prepare and distribute year-to-date expenditures and remaining annual budget to all department heads on a monthly basis
  • Assist Director of Finance & Operations with financial analysis and accurate modeling to produce reliable financial planning for on-going and new initiatives
  • Maintain General Ledger chart of accounts using Blackbaud/Financial Edge
  • Update Chart of Accounts as needed
  • Prepare and Distribute Budget reports for department
  • With the Director of Finance & Operations, prepare and maintain cash flow analysis and monitor timing of any required transfers

  • Assist in the collection of data and preparation of annual budget

SKILLS AND REQUIREMENTS:

  • Teach basic acting skills to Lower Elementary students.
  • Create and teach short plays based on the Lower Elementary world cultures curriculum.
  • Teach introductory Acting I to Upper Elementary students and Acting II to Middle School students with a focus on vocal and physical acting.
  • Write and submit reports based on programs’ timelines.
  • Teach a wide rage of theatrical texts, direct, and oversee the year-long Middle School collaborative culminating production.

Learning Specialist

  • Attend weekly meetings with school psychologist
  • Attend meetings with members of the educational team

  • Conduct some Professional Development for faculty
Skills and Requirements:
  • Advanced degree
  • Minimum of 3 years experience as a Learning Specialist and/or Reading Specialist
  • Certification in Orton-Gillingham or similar reading approach
  • Knowledge of Daily 5, Zoophonics, Fundations, Wilson, Fountas & Pinnell or other similar programs, as well as remedial math programs

After School Program Coordinator

The Montessori After School Program takes place between the hours of 3:00-6:00pm, Monday through Friday (except on School Vacations and Holidays). Responsibilities include but are not limited to:

  • Plan and oversee the Montessori After School Program (MAP)
  • Hire and oversee MAP teachers, MAP specialists, and MAP vendors
  • Plan and produce calendars, schedules and other internal program structures
  • Work with the Business Office to oversee the MAP Budget and track program costs
  • Work with the Business Office on communicating with parents about billing, registration and other programmatic needs
  • Work with the Director of Risk Management and the School Nurse, create health and safety procedures and protocols for MAP
  • Oversee attendance lists, allergy lists, and emergency contact information for students
  • Manage and maintain the After School information system
  • Plan and lead MAP staff meetings
