Human Resources & Payroll Manager

Essential Functions

  • Onboarding of all new employees, temp, 1099s, and contractors
  • Administer all employee benefits and ensure effective and timely communication.
  • Develop, implement and maintain effective compliance with applicable employment regulations.
  • Oversee fingerprinting, sexual harassment, NYS Mandated Reporter compliance requirements.
  • Manage employee time and attendance reporting in Payroll system (Paycom)
  • Review and manage workers compensation and NYS Unemployment claims
  • Review all Insurance and Pension invoices for accuracy
  • Oversee the employee orientation process and document completion.
  • Consult with employees to resolve personnel issues.
  • Coordinate recruitment with departments representatives.
  • Coordinate salary changes and oversee correct FLSA classification of jobs.
  • Maintain secure and confidential human resource related files and records.
  • Prepare and maintain accurate job descriptions.
  • Consult with Director of Finance, as necessary to minimize potential liability.
  • Compile data needed to complete nondiscrimination testing for FSA.
  • File annual 5500 reports for qualified benefit plans.
  • Review and revise employee handbook relating to employee issues and make recommendations as needed.
  • File all required HR documentation, as needed.

Pension

  • Enroll employees on school’s 403B pension plan
  • Oversee the submission of monthly contributions for pension plan
  • Prepare benefit requests for Defined Benefit Plan participants.
  • File 5500 reports for pension plans.
  • Collect data for nondiscrimination testing.

Payroll

  • Assist in processing payroll
  • Assist in reviewing timesheets
  • Manage time and attendance process in payroll system
  • Serve as back-up in processing payroll

Qualifications

  • Bachelor’s degree and a minimum of four years of increasingly responsible human resources experience.
  • Knowledge of CARES Act policies
  • Ability to communicate effectively with people at all levels in the organizations.
  • Working knowledge of human resource principles, procedures and practices.
  • Ability to effectively deal with multiple priorities, functions and activities.
  • Strong working knowledge of recent FMLA and PFL
  • Short and Long-term Disability policies
  • Working knowledge and skill of basic business software, including word processing spreadsheets and data base tracking systems.
  • Ability to maintain confidentiality in all matters pertaining to personnel, payroll and HR matters.

Physical Requirements and Work Environment

  • Generally, works in standard office conditions and climate.
  • Works in a high stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts.
  • May work at a desk and computer for extended periods of time.

Brief Description: The Director of Facilities Management supervises physical plant operations including all buildings and grounds, utilities, energy management systems and safety/security systems in order to provide a safe, healthy, and comfortable environment for students, faculty and staff. The individual in this position is responsible for the scheduling and supervision of maintenance and repair activities, contracted services, and custodial services, and ensuring the physical operation of the school meets budgetary and strategic objectives. PRIMARY DUTIES AND RESPONSIBILITIES

  • Directs, supervises, and evaluates department staff; ensures staff receives training related to specific job tasks and responsibilities.
  • Directs, schedules, and oversees all external contractors (electricians, plumbers, excavators, roofers, painters, landscapers, etc.)
  • Schedules and supervises maintenance workers engaged in building and grounds upkeep and repair; responsible for employee (faculty/staff/student) safety, electrical, plumbing, heating, air conditioning, and ventilation services
  • Develops and monitors department budget; orders equipment and supplies and monitors inventory; makes requests for capital outlay expenditures as needed. Will provide regular updates and reports as required for administration and the Buildings & Grounds Committee of the Board of Trustees.
  • Develops, implements, and supervises preventative maintenance and renovation programs for buildings, grounds, mechanical and electrical, utility, and safety and security systems.
  • Supervises custodial contract for the complete cleaning of the school.
  • Responsible for facility safety and meeting physical ADA compliance standards, works closely with staff and city/state officials to meet schools requirements for compliance with all local laws and ordinances. Will interface with FDNY and NYCDOB for all related fire-safety and building related issues. Must have or be able to attain Certificates of Fitness: S-95; S-12; S-13 from FDNY Testing Center.
  • Prepares specifications for physical plant projects; estimates costs of equipment, materials, labor, and supplies; prepares bid specifications for projects, equipment, and contracted services; oversees site and building projects performed by outside contractors.
  • Develops specifications for cost-effective campus energy management systems; supervises the operations, maintenance and repair of such systems.
  • Ensures the proper disposal of hazardous and controlled wastes in compliance with regulations and guidelines; works directly with outside agencies such as NYC-DEP, OSHA, FDNY, and other local and state health departments and AHJs as required.
  • Evaluates the need for and arranges physical plant training sessions (bloodborne pathogens, OSHA, MSDS, and other job-related training).
  • Contributes to strategic planning by evaluating and projecting future facility needs and proposing options to achieve them.
  • Performs other related tasks as requested by the Director of Finance and Operations, the Director of Risk Management and/or the Head of School.
SUPERVISION
  • Works under the general supervision of the Director of Finance and Operations.
MINIMUM QUALIFICATIONS
  • Bachelor’s degree in engineering, building trades, or related field, and;
  • Five or more years of progressively more responsible experience in physical plant maintenance, with three or more years of supervisory experience, or; combination of education and experience commensurate with the requirements of this position
  • Demonstrated ability to work cooperatively and collaboratively with school faculty, staff, administrators and members of the Board of Trustees
  • Experience in operational and strategic planning as well as budget development
  • Ability to effectively communicate ideas and information in written and oral format to administrative staff, professional colleagues, and members of the Board of Trustees

Controller

Job Description: CONTROLLER Start Date: Immediately Reports to: Director of Finance & Operations Brief Description: Maintain general ledger financial information and prepare financial analyses of school operations for the Head of School, Finance Committee and Board of Trustees for decision making purposes. Basic responsibility lies in the development, communication, and coordination of a sound overall business environment conducive to the educational objectives of the school. Full-time, 12-month position RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Perform accounts payable function, including invoice entry and disbursements, when approved by Director of Finance & Operations
  • Reconcile all financial and investment accounts on a monthly basis
  • Reconcile general ledger accounts to Institutional Advancement and Admissions Departments on a monthly basis
  • Assure accuracy and integrity of financial reporting
  • Prepare and distribute year-to-date expenditures and remaining annual budget to all department heads on a monthly basis
  • Assist Director of Finance & Operations with financial analysis and accurate modeling to produce reliable financial planning for on-going and new initiatives
  • Maintain General Ledger chart of accounts using Blackbaud/Financial Edge
  • Update Chart of Accounts as needed
  • Prepare and Distribute Budget reports for department
  • With the Director of Finance & Operations, prepare and maintain cash flow analysis and monitor timing of any required transfers
  • Prepare quarterly and tax reports as needed
  • Assist in the collection of data and preparation of annual budget
  • Assist in preparation or prepare all documents for the annual audit and work with independent auditors in the preparation of annual financial statements, schedules and tax returns
  • Print checks if needed / prepare online bill pay for payment to vendors
  • Manage and maintain purchase orders in Blackbaud
  • Monitor financial activities of the Parents Association
  • Perform other duties as assigned
SKILLS AND REQUIREMENTS:
  • Blackbaud/Financial Edge Knowledge required
  • Workable knowledge of Microsoft Word, Microsoft Excel and Accounting software
  • Knowledge of generally accepted accounting principles and practices
  • Be able to analyze fiscal data and report it in a clear and concise manner
  • Attention to detail
  • Ability to take initiative and work collaboratively when appropriate
  • Ability to maintain strict confidentiality
  • Be able to organize work and set priorities to meet changing deadlines
  • Be able to establish and maintain effective working relationships with all constituents
QUALIFICATIONS:
  • Bachelor’s Degree in accounting required
  • 5+ years of progressive experience
  • Experience with Blackbaud software required
